Executive Administrative Assistant
PA Flax Project seeks an exceptionally organized, efficient, and personable Executive Administrative Assistant to support our CEO and grow with our company. The role focuses on day-to-day administrative tasks, as well as managing accounts payable, accounts receivable, and financial record keeping. We are a small team, and we value our warm, friendly, and collaborative work environment.

Part time (20 hrs/week) - In person required, with some flexibility
$25,000/year
Paid time off available after 90 days of employment

Schedule all of the CEO's meetings and applicable prep time. Also schedule full company meetings and attendance at conferences
Keep accurate notes of all full company meetings
Schedule and book any travel for team members
Keep accurate records of travel expenses, including documenting any receipts that need to be submitted for reimbursement
Redirect the incoming calls to the company phone to the appropriate team member
Screen, redirect, and/or reply to emails in the general PAFP inbox
Organize PAFP's general Google Drive
Manage accounts payable and receivable
Manage and balance PAFP's petty cash
Research and collect information to support a variety of company activities
Keep inventory of and replenish all office supplies, as needed
Schedule building office maintenance visits, as needed
Proofread company correspondence, marketing collateral, and documents
Manage paperwork associated with new hires and contractors

Good with numbers
Articulate writer and speaker
Proficient with Google Workspace and Excel
Familiar with or ready to learn about project management CMSes (Notion, etc) and CRMs (Hubspot, etc)
Able to troubleshoot basic IT issues
Comfortable in a supporting role
Transitions efficiently between a wide variety of tasks
